ERASMUS+ Staff Mobility for Teaching

ERASMUS+ funding is possible for a period of 2 to 60 consecutive days. The funding of travel days is regulated in the Grant Agreement. Mobility for teaching purposes requires a teaching load of 8 teaching hours per week.

Beyond one week, the required teaching load is calculated proportionally using the formula: 8 hours / 5 days × number of additional days. If teaching is combined with training and professional development, the teaching load is reduced to 4 hours per week.

As a rule, funding can be granted for only one teaching assignment per academic year.

The financial support for ERASMUS+ mobility for teaching purposes is based on the differing cost of living in the destination countries (“Programme Countries”). The grant covers travel and subsistence costs, which are awarded according to EU distance and daily rates (so-called “unit costs”).

Depending on available funding, all days of the stay or only part of them may be approved, which is particularly relevant for longer stays. As a rule, one daily allowance is paid for one arrival and one departure day. The uniform daily rates used by German higher education institutions are shown below:

• Up to the 14th day of the stay: 100% daily rate.

• From the 15th to the 60th day of the stay: 70% daily rate.

Group 1: Daily rate €180 (100%), €126 (70%)
Belgium, Denmark, Germany (incoming), Finland, France, Ireland, Iceland, Italy, Liechtenstein, Luxembourg, the Netherlands, Norway, Austria, Sweden.

Group 2: Daily rate €160 (100%), €112 (70%)
Estonia, Greece, Latvia, Malta, Portugal, Slovakia, Slovenia, Spain, Czech Republic, Cyprus.

Group 3: Daily rate €140 (100%), €98 (70%)
Bulgaria, Croatia, Lithuania, North Macedonia, Poland, Romania, Serbia, Türkiye, Hungary.

In addition to these daily rates, travel costs are reimbursed according to the straight-line distance between the participant’s place of work and the mobility destination, calculated with the EU Commission’s Distance Calculators. The following amounts apply per stay and depend on distance:

• 10–99 km = €28, green travel €56.

• 100–499 km = €211, green travel €285.

• 500–1,999 km = €309, green travel €417.

• 2,000–2,999 km = €395, green travel €535.

• 3,000–3,999 km = €580, green travel €785.

• 4,000–7,999 km = €1,188.

• 8,000 km and more = €1,735.

An extension of the current mobility period is possible under the following conditions:

• The change to the mobility programme (STA) must be agreed with the International Office before the planned end of the current stay.

• The extension must follow on immediately from the current stay.

The final calculation of the funding period is made after returning from abroad: the host institution must confirm the exact start and end dates of the stay, as well as the number of teaching hours, using a Certificate of Attendance. These details must then be entered by the International Office into the Beneficiary Module, the European Commission’s database.

Under ERASMUS+, only days within the period confirmed by the host institution can be funded. Travel days must be documented in the travel expense claim. Retrospective funding for a stay that has already been completed is not possible.

Communication with partner universities regarding the scope and content of the teaching assignment, as well as the organisational preparation of the trip, is carried out independently by the participants.

HAWK and the host institution (university/organisation) are required to conclude a Mobility Agreement – Staff Mobility for Teaching and Training with the teaching staff before the start of the stay. This is based on the planned mobility programme. A clear copy or scan of the Mobility Agreement is accepted.

To prove the eligibility of individual activities under the ERASMUS+ programme, the documents listed here must be kept in the project holder’s files or in the corresponding secured data processing systems. If the documents cannot be submitted in full, the NA DAAD may request repayment from the project holder.

The final grants are calculated according to the confirmed and recognised duration of the stay. If the stay was shorter than agreed in the Grant Agreement, the funding is adjusted accordingly for the confirmed period using the Beneficiary Module. By that point, the teaching staff member has already received the ERASMUS+ grant in an initial instalment of 70% of the total amount. The second instalment, still to be paid, is made following the final calculation and amounts to up to 30% of the overall grant.

Travel expenses are settled in the financial accounts on submission of all receipts, as before, in accordance with the German Federal Travel Expenses Act (BRKG). Any resulting negative difference must be covered by the faculty or by the individual themselves. Any positive difference remains with the funded person and must be declared for tax purposes by that person.

All funded teaching staff are required to complete an online report (EU Survey) via the Beneficiary Module after the activity has ended. On the last day of the stay, they are automatically prompted by the Beneficiary Module, by email to their work address, to complete the report within 30 days.

The International Office checks whether the reporting obligation has been fulfilled, because the remaining grant amount can only be paid out after the report has been submitted.

Special funding through an application for reimbursement of actual costs for disability-related additional expenses to the NA DAAD may be available to persons with a degree of disability of over 20%, or to participants undertaking their stay abroad with children.

The application is submitted by the International Office and must be complete and received by the NA DAAD at least two months before the start of the stay. The grant is calculated on the basis of the additional costs caused by the stay abroad, provided these are not covered by other national bodies such as integration offices, health insurance providers, regional welfare associations, social welfare offices, student services, and similar institutions. These must be listed and documented in the application.

Funded participants must submit the regular report within one month after the end of the funding period, supplemented with details on the special circumstances of the stay related to the disability.

A slightly higher allowance is paid for travel using more environmentally friendly means of transport, such as taking the train instead of flying. Additional travel days may also be claimed if they result from choosing the greener mode of transport. These extra travel days must be stated in the application and justified when the expenses are settled.
